We are looking for a well-organised administrator to join our team in Camberley. You will be responsible for supporting a team of photographers delivering services to our clients; co-ordinating and scheduling their workload; and understanding client requests and managing internal and external communications. You will be responsible for ensuring our clients receive a personable and tailored service to build loyalty and ensure repeat business and act as the critical link between clients and photographers.
This is a fantastic opportunity for an efficient administrator to join Fourwalls, an exciting, innovative and rapidly expanding business offering a wide range of property marketing and surveying services to estate agents, surveyors and architects including photography, videography, floor plans, EPCs and CGIs.
Main responsibilities
- Organise appointments and assign photographers based on locations and abilities whilst ensuring efficient diary planning and utilisation
- Ensure appointments are booked that meet the Service Level Agreements, alerting the General Operations Manager as to any concerns
- Booking jobs from clients onto our online system
- Liaising with clients and internal departments on photographers’ availability
- Act as the first point of contact for telephone queries; answering questions, redirecting calls and taking messages as required
- Monitoring inboxes and responding to emails and messages (in a timely manner)
- Problem solve and assist with day-to-day issues that may arise and require investigation or escalation
- Improve the photographers’ utilisation and performance by working closely with the local Regional Photography Manager
- Creating and monitoring Excel reports and informing the relevant departments of the results
- Demonstrate the ability to interact, cooperate and establish effective working relationships with photographers and clients
- Monitoring client satisfaction through regular check ins and feeding back to relevant departments
- Manage your own workload in the face of unpredictable and conflicting demands, making adjustments to meet client or Company requirements at short notice
- Performing other office duties to assist the operations department when needed
